Generally, venues have a wedding coordinator onsite, which is great for the venue as all their needs will be met. The venue coordinator works on logistics & ensures that the needs of the venue are met, the furniture requirements are clear, the staffing rotas are correct, and that – logistically – the day runs smoothly. At most venues, there is more than 1 wedding on each day, and so the venue coordinator will often be overseeing more than 1 couple’s wedding at a time. Furthermore, they are not your personal planner, and will have 100s of couples to work with at any one time.
AS A PLANNER & YOUR WEDDING DAY COORDINATOR, YOU ARE MY MAIN PRIORITY AND THIS MEANS MAKING SURE THAT YOUR NEEDS ARE MET.
However a wedding planner – including on the day coordinator – role is very different. As a planner, YOU are my main priority, and I will make sure that YOUR needs are met. Specifically, We will work together from the start, meeting with you regularly, liaising with your vendors and getting to know them, building relationships through the entire process. This means that on the day of your wedding I know about every element of your vision, and exactly how it will be achieved.
How it works
Straightaway, we'll have a meeting or virtual meet-up, to get to know each other better. I want to hear about you, your relationship, your personalities, your vision for your big day & everything related to your wedding. During this meeting, you'll have the chance to ask me any questions at this meeting, I'm an open book & welcome open discussions.
My active role of working for you starts 6 weeks before your wedding day.
For each vendor that you have booked, I check contracts for you, then create workable timelines for payments& delivery, taking all the stress from your shoulders.
I act as the first point of contact, to reduce stress & admin levels in the final weeks of your engagement. This can be for both vendors & guests if you would like to keep them from overloading you.
Finally, on the day itself, I insist that you have your feet up, a glass of something chilled in your hand, getting excited about your wedding.
While you're doing this, I'm at your venue, coordinating like a boss.
- Coordinating arrivals of external vendors such as food trucks or toilets.
- Greeting & directing suppliers to ensure the correct placement of items.
- Assisting them in creating a stunning space if they need support. I'm always happy to get stuck in where needed!
- Ensuring all public areas are guest-ready.
- Greeting guests and directing them to their seats.
- Answering questions.
- Ensuring everything is going to plan & to time.
- Announcing you into the room under your married / preferred name.
- Liaising with the caterers to ensure the food is ready at the agreed time.
I will continue to manage the day until your first dance / 8pm, at which point I quietly slip away, knowing that I've created yet another fabulous, stress-free day for my couple.
